Since the System is highly flexible, partner billing information can often change, which in turn requires an invoice update. All invoice manipulations are performed in the Start/Finance/Invoices interface.
To individually recalculate a single invoice, you can use the Recalculate button:
The Recalculate button can be used when the financial data on which the invoice is based have been changed (or example, the rates have been changed or the EDRs have been recalculated). After you click on the Recalculate button, the System will update the invoice according to the new financial data. Also, this button is used to apply a new template created in the Administration/Template manager interface to an already created invoice.
If the recalculation should cover one or several invoices within a certain period of time, you need to use the Recalculate Period function:
The Recalculate Period button must be used if the partner's billing period, time zone, or invoice group index have been changed. When you click on the Recalculate Period button, the system will recreate all financial entities (usage→charge→invoice) according to the new parameters.
Please note that if you are trying to recalculate a time period that contains invoices in Confirmed status, you should deselect the Keep confirmed invoices checkbox. It is selected by default.
Among the frequent reasons why an invoice needs to be recalculated are the following:
1. If you have changed any of the invoice related templates in Start/Administration/Template manager, you need to recalculate those partner invoices for which you want to apply the change.
2. If any important billing entities affecting past traffic have been changed, for example, rates, you need to run a rerating task in Start/SMS or Voice/EDR or CDR rerating, wait for all cubes to be recalculated in Analytics and then recalculate the period that should cover the changes made in Start/Finance/Invoices/Recalculate period. In order to monitor the status of the cubes, you can use reports: SMS Analytical cube status (Administration) for SMS traffic or Analytical cube status (Administration) for Voice traffic. Cubes in the recalculation state will be marked as Must be recalculated:
3. Sometimes invoices for a particular customer do not show up on the System simply because the Billable checkbox is unchecked in the corresponding product. In this case, make sure that the Billable checkbox is activated in the Start/Carriers/Products interface:
Then recalculate the invoice or time period in Start/Finance/Invoices/Recalculate period.
4. If an invoice is doubled after it has been recalculated, you need to recalculate the period that would cover this invoice. Do not forget to deselect the Keep confirmed invoices checkbox.
5. If you changed the billing period in Start/Carriers/Agreements and wish to apply the new period to old invoices, you will also need to recalculate period and make sure that the Keep confirmed invoices checkbox is deselected.
6. Analytical cubes data tends to be constantly updated. If you notice discrepancies between Analytics and invoices, you can first recalculate the invoice and only then, if the discrepancy remains, try to find the root cause.
7. If you have recalculated an invoice and it has disappeared from the interface, please recalculate the period which would cover the invoice and refresh the page. The invoices should appear again. Make sure that the relevant billing period is also covered.
If none of the above cases have been resolved after invoice recalculation, please contact Alaris Support Team and provide the Account ID for which the invoice was generated, Invoice Reference Number if any, time period and all relevant entities' IDs.
