Report access: How to manage and best practices

With system having an extensive User Role system, allowing to flexibly control which interfaces and features a user may access, it's only right, that Reports - an essential tool for getting data from the system - comes with an option for limiting access to a certain User Role.

By default, all reports have Available to: parameter, which can be found in the Edit Report interface, set to System owner with no restrictions only:

Edit Report interface is only available to users with Create and edit reports user role or to No restrictions users. Changing this parameter allows granting access to the report to all users with certain roles. To change the role, an according role should be selected from the drop down list, then one of the Save options should be used. 

If bulk changes need to be made to report access, please open a ticket to Alaris Support.

Lets take for example report SMS rate change log (Administration) which is a useful report when it comes to editing rates, allowing to trace changes in them. 

Logically, users who need this report are those, who are actively editing rates, so assigning access to this report to users with Edit rates role will ensure that a person who can only view rates won't be able to access a detailed rate change logs, while it will be available to users actually able to edit rates. 

Proper use of this functionality will ensure that users will be able to access reports required for their work while restricting access to information that shouldn't be available to them.

Two things worth noting are:
1. Users must have Reports role to access Reports interface and execute reports.
2. Users with No restrictions will have access to all reports.

If you cannot access certain reports that should have access to, please contact your superiors in your company to check if:
1. Your user has the role required to run the report.
2. The report has Accessible to: set to the according user roles.
