While handling invoices, a need may arise to correct a charged amount, for example, if rejected messages were accidentally billed and now there is a need to return the money to your client. In this case, a credit note might be issued for a partner's account.
Credit note is essentially a negative charge. It is an excellent tool for correcting the partner balance and can be instrumental in case of disputes. When amount correction in the client’s favor is needed after the invoice has been received, a credit note can cover the required amount by increasing the client’s balance. In a vendor-associated case, a credit note stands for the amount to be compensated to the System owner by reducing the vendor’s balance.
To issue a credit note, create a charge with a negative amount, and the credit note will be generated automatically (if the Create/update invoices checkbox is selected in the Create charge detail dialog of the Finance/Charges page).
A PDF file may be uploaded into the System to serve as a template for the credit note. It is managed, as all other templates, in the Administration/Template manager page.
To configure the text of an email letter that will be sent out alongside the credit note covering letter and traffic details, a credit note letter may be used in the Administration/Template manager page.
It is also possible to create Credit note details template in MS Excel format. The list of addresses for sending is the same as for the Credit note template.
